There are three important elements to make sure that your event will run smoothly without any problem:

1. The Planning Process
2. The Team
3. The Execution

This week I will emphasis more on the first aspect of the trinity which is ‘The Planning Process’. Any events, no matter big or small, will require at least a simple basic plan. A good event will require a good plan. A great one however will require a near-perfect plan.



Part 1: Plan Your Event



The planning process supposes to be the easiest part of event management yet very crucial one no less. There will be significant differences with what you should include in the plan depending on the scale of the event. Smaller, less costly events will need a shorter list of details while bigger events will require a full plan complete with a proposal, cover sheet, project summary and all other important details.

For a small event such as tea party for 10 business peoples, the plan will act as a guide for you throughout the entire party. Details like location, guest, foods, MC (if any), speaker (if any) and schedule should all be put in the plan. This will make sure that the event manager are informed with all the things he / she need to know in order to prepare and execute the plan. Don’t be surprised to hear that sometimes that even a small event without a proper planning might have more problems than bigger and grander event. If you are planning to organize a small event such as birthday party, wedding anniversary, private party or even a Christmas party, invest some time to plan because every seconds you put into planning the event will saves you from any trouble that you might face in the future.








If you are organizing medium, big or huge events; event planning is a skill that you must have. No matter it is wedding ceremonies, corporate events, marketing programs or any other kind of events that require a big amount of money; a near-perfect plan is a must to ensure that no details are missed out when the event started. You have no idea how chaotic it will get when even the smallest details are missed out in a huge event. An experienced event manager will always know what details are not included in a plan or proposal.



If your event requires you to find sponsorship from agencies other than yours or your client, the plan and the proposal will be the first thing your target sponsor will enquire. That’s why it always smart to include every details in your proposal. Details like ‘event summary, introduction, date & locations, costing, staff and objectives’ are just some of the must have in a plan. A good plan will include details that will interest your target sponsor so the event manager should take this into account when he / she are preparing the event proposal.
